Position Description:
Primary Job Purpose:
Responsible for the cost effective management of contract work and ensuring it meets budget and specification, whilst minimizing the Company’s exposure to commercial/ contractual risk.

Principle Accountabilities:
§Quality Assurance(See Quality Manual)
§Health & Safety(See Health & Safety Manual)
§Promote the business of the Company by excelling at customer care and satisfaction thus creating the platform for further sustained profitable growth.
§Responsible for the control and monitoring of each contract by liaising with team members to ensure they meet specification requirements and thus meet agreed profit targets for the current financial year.
§Ensure that each contract is adequately staffed with the required number of appropriate personnel, that they are motivated and developed to perform their duties in order to achieve contract requirements.
§Monitor each contract on a monthly basis against estimate and current forecast for the purpose of producing a monthly contract review form for discussion with HoD/Director.
§Ensure production monitoring controls are in place for each agreed appropriate contract.
§Input all sales leads to the Director and source new contacts/contracts in a proactive and responsible manner.
§Produce weekly updates for labour requirements to the HoD.
§Check contract requirements, specifications, drawings and contract conditions in order to identify:
• Variations and ensuring client is made aware of all changes.
• Assisting in resolution of claims/ final account disputes as and when required
§Ensure requisite instructions are received to validate variations as being bone fide and liase with HoD/Director in ensuring that the correct contractual notices are registered as demanded by the terms and conditions of the contract.
§Check for accuracy the receipt of customer orders and seek approval from HoD/ Director to initiate their execution.
Contracts:
§Keep the Director informed of any problems with progressing the workload with as much notice as possible.
§Responsible for the management of the execution of contracts at locations within the UK and Ireland commencing with the assembly and issue of documentation to enable customers to finalise their orders and continuing with the preparation of design drawings from information acquired by meetings with customers and their representatives to specified standards and legislation.
§Co-ordinate the design programme by monitoring same against the construction programme and specification requirements.
§Liaise with Main Contractors and customers to accommodate our operations within the overall contract programme of works and subsequently plan material procurement, labour levels and financial strategies in accordance with this.
§Arrange site labour either in house or sub-contractors through HoD/Personnel department, hire necessary plant and coordinate all elements to achieve an effective start on site operations at the required time.
§Oversee installation operations to ensure any adjustments required are made and that the installation is in working order with specific focus on:
• Attending meetings
• Resolving site problems
• Carrying out routine inspections
• Directing site labour
• Liaising and supporting Site Supervisor
• Produce timely and agreed invoices
• Expedite final account agreement as soon as possible.
§Arrange and oversee commissioning and demonstrations to Client representatives as required in order to identify any modifications which the client may require and handle accordingly. Prepare and issue Operating /Maintenance manuals and arrange familiarization training for Client’s nominated personnel.
§Issue all completion documents and certification
§Responsible for ensuring that routine installation inspection are carried out on an ad hoc basis, usually at least once a week, to ensure any adjustments required are made and that the installation is progressing as efficiently and effectively as possible.
§Forward drawings/ quantities of materials listed from same to Purchasing dept/Suppliers/Subcontractors for procurement purposes. Also order materials, monitor and maintain the level of equipment held by the company on site, prepare requisitions and liaise with Suppliers during manufacturing delivery periods.
§Other activities as requested by Director or Head of Dept.
Nature and Scope:
The job holder works on own initiative with support and assistance available from the HoD, Administrator and Director as and when required.
The main difficulty of the job is controlling the number of different elements of the contracts to ensure that contract requirements, customer satisfaction and targets are met.
The main challenge of the job is working within tight deadlines in order to ensure that the contracts are completed on time and to a satisfactory standard, whilst achieving Company targets for profitability. |
