Production Administrator

To support the acheivement of the MBA Envelopes business goals by assisting in the operation of envelope production, providing a range of administration services that are necessary to enable the smooth running of the company to meet the planned schedules and customer specifications.

To mange the smooth running of the General Office and provide administratitive support to the Business Unit Director

Accountabilities:
1. To aquire a full knowledge and understanding of the range of services provided in the envelope department.
2. To have knowledge of how to operate a PC, to be familiar with Microsoft Office, to be able to learn and understand the company’s management information systems in regards to invoicing, purchase orders etc.
3. To undertake support tasks as directed by the Business Unit Director.
4. To create and collate purchase orders, create goods received notes and to match and reconsile with suppliers invoices.
5. To collect daily deliveries notes and reconcile them with the relevant purchase orders.
6. To prepare Invoices for finished jobs from the job bags to include all charges due from the Client.
7. To update and maintain personnel documents and attendance records of all staff, to produce the weekly time sheets and wages information for the production staff, to maintain HR records and ensure that the wages information is sent to London Head Office promptly each week.
8. To collate and record all staff holiday information
9. To prepare daily and end of month sales and production reports etc. for an analysis report for the JetPress Department
10. To collect the daily production output information and input to a spread sheet for daily distribution, production statistics to include the volumes, downtime and set up times and to accurately report the information.
11. To undertake the running of the general office and associated tasks as and when requested.
12. To liaise with Clients and suppliers via the telephone advising on delivery dates etc.
13. To assist in the preparation of the job bags ensuring that all the information/instructions are correct and that all relevant documentation is present.
14. To create and print the box labels for jobs.
15. Good time keeping and attendance.
16. To ensure that all relevant files, job bags and general office material is filed in the appropriate locations.
17. To maintain a tidy and clean work area ensuring that office and desks are kept in a clean and orderly manner.
18. To understand and adhere to the company policies and procedures with particular emphasis on quality and health and safety.


Internal Relationships; All MK staff and MBA Group departments as required.

External Relationships: Suppliers, Clients as required

Background / Experience: A successful 2 years proven track record gained within a customer facing or production environment.
