BASIC FUNCTIONS:
To assist the Document Manager with preparation, filing, compilation and issue of technical (i.e. Procurement/Engineering/Construction/Commissioning documentation, and subsequent processing into electronic format utilizing scanned images processed via hard copy documents. To register documentation on the BLL BIW EDMS and exact attributes in accordance with BLL requirements. In addition to the above, there will be photocopying and filing requirements.
PRINCIPAL ACCOUNTABILITIES:
EDMS registration (BIW System)
- Perform the registration (input) of documentation, both hard copy and electronic
onto the BLL BIW EDM System. Accuracy and efficiency are of the utmost importance
Compilation:
- Examination of the technical documentation and retrieval of referenced documents in both hard copy and native file formats from filing systems; network drives and received O&M documents from Vendors and Contractors. Assisting the Document Manager in examination of the referenced documentation to ensure that the correct/current items are retrieved and processed.
Electronic filing and scanning:
- Performing a scanning function to render hard copy into .PDF/TIFF images as required. The images are then transferred to a project drive to be subsequently migrated onto BIW, and burnt onto a compact disc, ready for issuing to a set distribution.
Problem solving:
The ability to analyse technical document references and ascertain correct revisions in an efficient and logical manner.
TECHNICAL AND ACADEMIC REQUIREMENTS:
The major requirements are:

- At least 5 years Engineering Document Control experience
- Electronic Filing experience
- EDMS understanding and experience (preferably BIW)
- A proven ability to work with and move electronic files.
- A good understanding of scanning practices.
- An investigative and inquiring mind.
- Has sound MS Office capability
- An understanding of the requirements to enable CD burning and copying.
- Educated to GCSE Level
